The Office of Student Life serves as a liaison between students and diverse officials. In this regard, students who will be traveling outside of Egypt on trips that are endorsed by the university may request the issuance of travel permits. Egyptian male students at The American University in Cairo, who are under military obligation, need to be aware of the process of obtaining an official letter addressed to the Military Service Zone and signed by the AUC president for travel authorization.

Eligibility:

  • Must be an enrolled AUC student
  • Must be traveling to represent AUC in a conference, tournament or similar official event, but not for personal travel or leisure

Requirements to obtain military letters:

  • Endorsement letter or invitation signed and stamped by a university professor, office, department or academic advisor, showing the reason for travel and the date of departure for each student
  • Enrollment certificate from the registrar's office, indicating the student military registration number, year, city and age
  • Parental permission in Arabic (handwritten and signed by parent) to show approval of the travel, specifically the duration and purpose
  • Copy of valid passport (at least six months before travel date)
  • Invitation letter obtained from the hosting entity on official letterhead, stating the conference or activity name, city, country and duration
  • Copy of the electronic ticket showing dates of arrival, departure and destinations

Procedures:

  • Acquire the specified enrollment certificate from the registrar's office
  • Compile all required documents, including the endorsement letter, AUC trip details, invitation letter and passport copy
  • Submit complete documents to the Office of Student Life as hard-copy original documents

Important Note: 

Upon receiving the complete required documents, the Office of Student Life requires eight working days to process requested letters.

Final Phase: 

Before proceeding to the Military Service Zone, students must obtain the official Egyptian stamp from the Ministry of Higher Education.
