I. Purpose and Scope

Purpose: These guidelines ensure the health and safety of food served at university events while streamlining the process for event organizers and the Office of Events Management and Food Services.

Scope: These guidelines apply to the use of outside catering vendors for food and beverages at university events, other than on-campus providers with storefronts or physical locations. They cover food offered at no cost or sold at events. All AUC departments and student organizations hosting events or meetings with more than 20 attendees must seek approval from University Food Services when using external service providers. Student organization requests are managed through the Office of Student Life.

II. Exclusions

  • These guidelines do not cover food deliveries to on-campus student or faculty residences.
  • They do not apply to on-campus food vendors, who fall under the responsibility of the Office of Events Management and Food Services.

III. Procedures

3.1. Requests for Catering Services

  • External catering requests: Requests for catering from off-campus vendors not on the pre-approved list must be submitted to University Food Services for approval.
  • Submission timeline: Requests must be sent to the food services office ([email protected]) at least three (3) working days before the event.
  • Required documentation: Requests to use off-campus catering vendors must include:
    • Tax ID and commercial registration (including e-invoice)
    • Certification from the National Food Safety Authority (NFSA) and/or the Ministry of Health and Population (MOHP)
    • A signed Catering Vendor Form confirming compliance with all Egyptian legal requirements, MOHP food safety regulations and university guidelines

Once received, the Office of Events Management and Food Services will review the documents and confirm approval.

IV. Pre-Approved Providers

  • Selection: To offer variety and improve service, the Office of Events Management and Food Services provides a list of pre-approved catering vendors for event planners.
  • Order placement: Event organizers using pre-approved or on-campus vendors may place orders directly without submitting documentation.
  • Feedback and satisfaction: The food services team collects feedback and satisfaction surveys to inform updates to the pre-approved vendor list.
