Thesis Supervisor Thesis Reader/Examiner

General Responsibilities

  • Stay informed and meet the program’s requirements and deadlines
  • Follow policies and procedures
  • Academic integrity

Thesis Specific Responsibilities

  • Identify thesis supervisor and agree with him/her/them on the thesis supervision
  • Notify the program director of the thesis supervisor
  • Develop, plan and agree on research design/methodology, data collection methods and instruments/subjects with the thesis supervisor
  • Be aware that the thesis is an independent piece of research/work with the mentorship and intellectual support of the supervisor/s
  • Follow IRB requirements and CAPMAS approval where applicable
  • Meet regularly with thesis supervisor during the semester for sharing progress on thesis work and obtaining feedback on it  
  • Coordinate with the thesis supervisor for the selection of readers
  • Follow AUC’s academic integrity standards in writing the thesis. Thesis drafts are to be submitted to Turnitin.com. If the thesis entails major revisions after the defence, the updated version is to be submitted again
  • Submit thesis drafts as arranged in a timely manner
  • Adequately address feedback from the thesis supervisor and/or readers/examiners
  • Carefully proofread drafts before submitting them
  • Obtain copyright permission as needed
  • If the student decides to change the thesis supervisor, he/she should inform the program director

 

General Responsibilities                                    

  • Maintain up-to-date program policies and procedures, and ensure they are aligned with the university ones
  • Publicize requirements and deadlines in a timely manner
  • Promote the university resources such as the library, graduate workshops, institutional grants, Social Research Center and Mohamed Taymour Writing and Communication Center
  • Promote applications for research, conference and study abroad grants
  • Be available to students for any issues and/or concerns
  • Conduct program’s self-assessment yearly
  • Coordinate the application to/renewal of program equivalence from the Supreme Council of Egyptian Universities – where applicable

Thesis Specific Responsibilities

  • Act as the academic advisor to students before they have selected their thesis supervisor – where applicable
  • Conduct the needed interventions as specified elsewhere in this document, in cases where students receive an “unsatisfactory” grade for registered thesis credits
  • Direct and coordinate the process of thesis proposal submission, review and approval
  • Maintain updated student records, including thesis supervisor name, thesis title, and names of readers where applicable
  • Communicate the above information to concerned faculty members (supervisors and readers at the start of every semester) for any changes and/or updates

 

General Responsibilities

  • Assist the program director in reminding graduate students about registration, payment and fellowship deadline
  • Stays abreast of requirements from the Office of Dean of Graduate Studies
  • Manage applications for admissions on behalf of the director of the graduate program
  • Manage requisite administrative paperwork on behalf of the department and its graduate students
  • Update contact list of graduate students in their program every semester
  • Disseminate information through group email/phone or notices in classrooms
  • Retrieve or review the degree audit in consultation with the registrar to determine academic lack of progress and inform the program director

Thesis Specific Responsibilities

  • Follow up with the registrar and the deans' offices on thesis submission dates
  • Ensure that all completed theses are submitted to their final destination at the library
  • Share a contacts list of the thesis students with the program director
  • Maintain records of the formal feedback on thesis work and the meetings between the supervisor and the student in this regard

 

  • Notify the program director of the thesis supervision
  • Advise student on refining research questions, methodology, readings, outline, timeline, drafts, etc.
  • Provide substantive comments on thesis drafts as needed and in a timely manner
  • Actively follow up on student’s progress where needed
  • Oversee thesis completion
  • Uphold standards of academic integrity, ensuring the student submits the thesis draft to Turnitin.com
  • Maintain communication with readers/examiners
  • Ensure that the student has incorporated readers’ and thesis supervisor’s revisions/comments
  • Ensure completed thesis meets program and university standards/requirements for content, style, and form
  • The involvement of faculty in the supervision during the summer is left at the discretion of the faculty
  • Ensure the student is registered in thesis credits during the semester he/she is expecting to complete the thesis
  • If the thesis supervisor decides to withdraw from a thesis supervision, he/she should inform the program director (a form is to be developed for this)

 

  • Provide feedback and comments to the student on the draft thesis to the effect that feedback to the student on the thesis work is provided through the thesis supervisor
  • Provide feedback in a timely manner in accordance to thesis submission deadlines in the university
  • Where applicable, readers are to give feedback on the proposal
  • Maintain the confidentiality of deliberations of the defence
  • Readers will be identified when the thesis topic is agreed on and will then be involved in providing feedback when the thesis draft is submitted. In some disciplines, they would read the thesis proposal with the aim of being able to decide to serve as readers
