Senior Specialist, SCE Enrollment and Recruitment, Strategic Enrollment Management, School of Continuing Education (50011127)

Reports to:  Executive Director, Strategic Enrollment Management (SCE)

Purpose: The job holder will report directly to the executive director and participate in the planning and implementation of related programs and strategic enrollment initiatives, resolves or provides support in the resolution of complex, sensitive student enrollment issues as they arise. This position will manage a variety of special projects and assist with the development and implementation of strategic recruitment and communication plans. He/she will also oversee data collection and management functions related to enrollment and recruitment. The job holder is responsible for managing all financial and administrative aspects of the office.

Work is based on flexible and extended hours in all SCE and training venues.

Principal Accountabilities:

  • Assists the executive director with the development of the School of Continuing Education’s (SCE) annual instructional calendar, strategic recruitment plans and annual communication calendars
  • Helps research, and analyze data pertaining to SCE student recruitment campaigns and help make well-informed recommendations to identify potential opportunities for prospective leads and how to turn them into actual opportunities
  • Develops and disseminates enrollment information to students and staff through presentations and publications for Banner upgrade and other University office software
  • Participates in the development, implementation and maintenance of policies in the SCE policies and procedures manual; follows up on office short and long-range planning in school’s annual plan; develops and implements projects and programs to assist the executive director in the accomplishment of established goals
  • Updates and edits office publications, bulletins, and SCE student learner and admission handbooks; oversees the production and distribution of publications
  • Provides integrated consultation and guidance in problem resolution to prospective and returning students and their families regarding a wide range of enrollment services issues
  • Develops, writes, edits, and coordinates production of multimedia informational and/or promotional communications and reference materials related to enrollment functional area of operations
  • Provides assistance in the understanding and interpretation of University policies and procedures, as appropriate, and ensures that office operations are in compliance with policy provisions and standards
  • Provides administrative support, which may include scheduling meetings and events, maintaining various office files, initiating and drafting correspondence, and other related duties
  • Participates in the development of annual operating budgets and provides fiscal direction to the unit
  • Interfaces with other units and assists in collecting information for internal and external stakeholders, as directed by the executive director of strategic enrollment management
  • Coordinates with University Information Systems (UIS) chief technology officer, the school security profiles for access to Banner, Ad Astra and Argos and troubleshoots office staff email accounts and needed office software
  • Acts as a link with concerned university offices, departments, outside contacts and human resources to track service agreements and consultant agreement payments, maintain attendance, overtime and leave records
  • Participates in outreach recruitment events
  • Manages petty cash expenses and reimbursements in coordination with the school's finance office as well as oversees all financial tracking of transactions, SAP fund reservations and purchase requisitions
  • Monitors the office supplies/stationary stock and processes supply store orders accordingly
  • Assists in replying to Facebook in the box on the school’s fan page
  • Performs any other related tasks as assigned by SEM executive Director

Requirements:

Minimum Education RequirementBachelor’s degree

Experience: Five to seven years of experience in a related field including two years of experience in customer service. Previous experience in manipulating graphics and videos is a plus

  • High level of confidentiality and discretion
  • Strong language skills (oral and written) in Arabic and English
  • Budget planning experience and knowledge of Banner and SAP is an asset
  • Strong knowledge of Microsoft Office (Word, Excel, Access, and PowerPoint). Working knowledge of Publisher is a plus
  • Familiarity Illustrator, Photoshop, InDesign, adobe flash player and adobe acrobat is an asset
