Coronavirus Questions and Answers

AUC is closely monitoring the local and global health situation related to coronavirus (COVID-19) pandemic. The University is taking precautionary measures in an effort to help limit the spread of infection and is closely answering all questions imposed by different members of the community

    How long will AUC continue to deliver online/remote instruction?

    We are continuing with the emergency remote instruction through the end of the Summer 2020 semester. For future terms, we are continuing to monitor the situation in Egypt, the region and the world, including the ongoing health of members of the AUC community. We will be issuing regular updates to the community throughout this period.

    Will there be a Summer 2020 session? How long will these summer courses be?

    The Summer 2020 term will be delivered through online instruction. All summer courses will run for the full six-week Summer term. AUC will not be offering three-week Summer A or Summer B courses due to their intensive nature. 

    When will the AUC communicate the Fall 2020 semester plans?

    The Fall 2020 semester plan will be communicated in the first week of July. A task force, headed by Associate Provost for Strategic Enrollment Management Ahmed Tolba, is currently still discussing multiple options.

    Will the CR/F option that was introduced for Spring 2020 apply to the Summer term?

    The CR/F option will not apply to the Summer 2020 courses. Unlike Spring, where the shift to remote learning caught us all by surprise, faculty and students who choose to participate in Summer courses have the time to prepare for the online courses in advance.

    Will there be a reduction in tuition due to these circumstances?

    Unfortunately, AUC, like nearly all universities in the US and the world, cannot offer refunds or reductions in tuition for the current term. Undergraduate student tuition represents only 76% of AUC’s revenue. This means that tuition does not fully cover the cost of an AUC education for any one student. Every student at AUC is subsidized because no student pays more than 76% of the cost of his or her education. In addition, 46% of our undergraduate students receive financial assistance to study at the University. This all makes philanthropic contributions to support AUC of the utmost importance. While we manage our response to the global coronavirus pandemic, we remain focused on ensuring that our students are able to complete the Spring semester. We are also fully committed to the promise we made in 2016 that no current student will be prevented from completing his or her education at AUC due to an inability to pay.

    What types of assessments are allowed during the period of online instruction?

    AUC is now using a system called Respondus Monitor, which includes a specialized browser that enables monitored exams. The instructor may give monitored quizzes and exams using this system only. No other types of proctored assessments are allowed, including proctoring via Zoom. All faculty members have received detailed information on using Respondus Monitor. Guidelines for students on taking online monitored assessments using Respondus Monitor are available hereFaculty members have also been given clear guidelines on a range of alternative types of assessments.  

    How can we ensure students are learning in courses that need practice, for example, the graduate research class?

    Any course-specific questions should be directed first to the professor and then to the department chair to ensure the most relevant and up-to-date response.

    Will there be changes to assignments or course syllabi due to the shift to online learning?

    Any questions concerning assignments, including updates to the syllabus due to the shift to online learning, should be directed to your instructors.

    I am a science/engineering student, and I would like clarification as to how laboratories in my major will be covered without access to the University?

    Depending on your major, your faculty/instructor will be using one or more of the following for laboratory delivery:

    • Instructors may post-digital recordings of experiments (or stream them); they may also provide published videos along with an explanation and results.  
    • For computer labs (e.g., CAD in ARCH, ENGR, MENG and others in CSCE), students are granted remote access and will work in a synchronous/asynchronous mode, as appropriate.
    • If students are required to use replaceable components kits to perform experiments, they will be provided with those kits to complete their work at home. 
    • An instructor may use simulation software to explain an experiment. Students will then use the software to run the experiment on their own. The software may be installed on their computers, or they may use it remotely.
    • Students may be required to provide periodic submissions of ongoing projects that require an outcome (e.g., models, draft digital blueprints, proposals, presentations) for assessment.

    How will my laboratory performance be assessed?

    Depending on your major and the nature of the laboratory exercise, you may be assessed, with varying grade weights, in one of the following means:

    • Students may be asked to submit a report online.  
    • Students may be asked to send in a video that shows them conducting the experiment using the provided kits.
    • For simulations, students may be required to submit a model they developed through the software or a video that captures their simulation.
    • For projects, students may be required to provide periodic submissions of ongoing projects that require an outcome (e.g., models, draft digital blueprints, proposals, presentations) at designated benchmark dates.
    • Students may be required to attend an online discussion or oral examination.

    Is it possible for faculty members to order (as a matter of urgency) online, course-specific resources or textbooks and charge the University for them?

    Faculty requests for course-specific resources should be made through the department chair and school dean.

    As a student with special needs, what support is provided, both learning and physical, for online instruction and assessment?

    The Office of Student Well-Being's Student Disability Services (SDS) unit works closely with many offices across the University to ensure students with special needs are receiving the necessary support needed during this period. This includes working with the Office of Tech Solutions' Assistive Technology Services to ensure accessibility of Zoom and Panopto. Students with visual impairments received hands-on training for Zoom and Panopto, as well as subscription access to Bookshare, an accessible online library for persons with disabilities. Bookshare helps students with visual impairments, dyslexia and other reading barriers to virtually find any book they need for their studies. SDS collaborated with the Center for Learning and Teaching to provide faculty with effective strategies and tips to ensure the accessibility of their online classes. SDS remains in close contact with students to provide support services, such as note takers and Disability Buddies, when needed, as well as support with accommodation needs.

    Theses

    How will graduate thesis defenses be handled?

    During the period of online instruction, it is preferable to hold any graduate thesis defenses remotely (via Skype, Zoom, etc.). In cases where this may be a challenge, face-to-face defenses will be limited to the concerned student and the defense panel. No other attendees should be present in a face-to-face defense.

    What about thesis presentations and milestone submissions? Will there be any explicit exceptions given to the graduating class? 

    Any presentations or submissions which can be done remotely will continue as scheduled. Others, depending on the nature of the work, may have to be delayed until face-to-face classes resume.

    Grading

    How will Spring 2020 classes be graded?

    Faculty members will submit Standard grades at the end of the semester as usual. If a student elects CR grading for one course or more, the Office of the Registrar will convert the Standard grade submitted by the instructor to a grade of CR.

    What is a credit/fail (CR/F) grade?

    A CR grade (D or above for undergraduates and C or above for graduates) is a passing grade and is counted toward earned hours. An F grade is the regular fail grade; it does not count toward earned hours and the course is not fulfilled.

    How will this change affect my GPA?

    Standard grades (A to F) will be calculated into the GPA following standard practice. A CR grade will have no effect (positive or negative) on the GPA.

    We understand that faculty members have been instructed not to give proctored graded quizzes or exams during the coming weeks of online instruction. Does this mean no graded assignments at all?

    Some classes have a percentage of the grade allocated to presentations. Should these be changed to other types of assignments?

    Presentations may be done online via Zoom meetings in small groups, or students may be asked to record a video and send it to the faculty. Alternatively, faculty members may opt to cancel presentations and replace them with other assignments. Any such changes should be communicated to students via an updated syllabus.

    As we approach the season of term papers, research projects and final exams, what if someone needs to use the library resources? Will the libraries be accessible soon?

    AUC Library is accessible virtually either through the website or via email requests.

    Now that the University has announced that Summer 2020 courses will be taught online, will the CR/F option that was introduced for Spring 2020 apply to the Summer term?

    Attendance

    How will the shift to online instruction affect the attendance policy? 

    We are implementing a “relaxed attendance” policy for Spring 2020. This means that faculty should not be failing any student due to missing six or more classes. Faculty members will be able to evaluate “participation” and include it as part of their grading system (if applicable). 

    Drop and Add Dates

    Will drop/add and withdrawal dates change?

    The course drop deadline (undergraduate and graduate) has been extended until May 7. The undergraduate withdrawal deadline has been extended until May 7, and the graduate withdrawal deadline remains, as originally scheduled, on May 7.

    June Commencement

    What does AUC plan regarding the commencement ceremony for the Class of 2020, who are expected to graduate in June?

    Vice President of Student Life Deena Boraie has previously communicated with the SU on having some form of virtual commencement. However, the SU has stated that they prefer an in-person ceremony in the Fall. If anyone has ideas for virtual or on-campus commencement ideas that will allow us to celebrate the graduating class within the COVID-19 guidelines, please share with VP Deena Boraie and your respective deans.

    Who do I contact for University Registrar services?

    Faculty Registration

    How do I register for the Online Instruction faculty training?

    AUC faculty members must sign up through a registration form to select a day, choose either a morning slot or an afternoon slot, and indicate the requested training. Visit the online instruction page for the full information and registration form.

    Scholarships and Fellowships

    Will AUC allocate more funding for scholarships and fellowships in the next academic year, whether to continuing or new students?

    AUC has already allocated a substantial amount for scholarships and financial assistance. However, AUC reaffirms its commitment that no currently enrolled student, in good standing, will be forced to withdraw due to an inability to pay tuition.

    Admissions

    For prospective students, have admissions closed or is there a new deadline? 

    AUC has extended its admissions deadline. Since AUC does have a limited capacity for new incoming students, we advise all prospective students to apply and complete their applications.

    What is the Smart Traveler Enrollment Program (STEP)?

    The U.S. Smart Traveler Enrollment Program is a service provided by the U.S. Department of State's Bureau of Consular Affairs for U.S. citizens abroad. You can register for STEP through travel.state.gov. Indicate that you want messages from Egypt, and you will receive any notifications that we put out to the American citizen population. You can enroll in the program through this link

    Are there more expected flights leaving Cairo anytime soon?

    No expected flights are going back to the U.S. between now and the end of Eid Al-Fitr holiday. As things start to normalize starting in June, it seems that there will be more regular commercial flights scheduled. Like and follow the U.S. Embassy Cairo page on Facebook for up-to-date information.

    Are Egyptair's flights traveling at full capacity, or are they making allowances for social distancing?

    The Egyptair flights have all been sold out; they do a thorough cleaning, but there is no allowance for social distancing.

    How much do the U.S. flights cost per ticket?

    A ticket costs around $900.

    Will the Egyptair flights be considered as home leave tickets?

    Yes, they can be considered as home leave tickets.

    If a faculty member is not able to travel during the summer, will they be able to use their home leave during the rest of the year?

    Yes, home leave may be used later in the year, during Christmas break, for example.

    Can the AUC travel unit assist with travel arrangements during this time?

    It is more advisable to purchase your ticket(s) directly and submit all receipts (including boarding passes) for reimbursement.

    Is it possible to fly with pets? What are the recommendations for flying with pets? Do they need a health certificate or something similar? If yes, where and how do we get it if something other than a certificate from a vet is needed?

    Are foreigners allowed to come back to Cairo if they have a valid visa/residency? What if they do not have a valid visa/residency?

    Yes, foreigners can come back to Egypt if they have a valid visa/residency. For the AUC community whose family members are without a valid visa/residency, please communicate directly with the Office of the Counselor for possible options.

     

    Upon returning to Cairo from abroad, are AUC community members permitted to self-quarantine at their homes/AUC Residences instead of the hotels assigned by the Egyptian government?

    Starting from July, you will be permitted to self-isolate at your own home for 14 days and not at the assigned hotels or quarantine locations. If you are returning to Cairo before July, travelers are expected to quarantine in assigned hotels or quarantine locations. AUC Counselor Ashraf Hatem will communicate with the Egyptian government for permission for the AUC community to self-isolate at the AUC Residences or a nearby hotel. Before traveling, please communicate with both the Office of the Counselor and the travel unit to be informed of the proper paperwork and documentation needed for any permits, including residency or work permits.

    Does the U.S. government require quarantine upon entry to the U.S.?

    Travelers going to the U.S. are expected to self-isolate for 14 days. There are no dedicated quarantine locations nor government tracking or checking-in calls.

    Are Egyptians with a valid U.S. visa permitted to travel to the U.S.?

    Yes, Egyptians traveling from Egypt have no issue entering the U.S. The bigger challenge is the flight capacity. Egyptair has been working with the U.S. Embassy to prioritize those who do not have residency in Egypt. The only places that have restrictions are the Schengen zone, China and Iran.

    Will faculty members who cannot travel abroad because of COVID-19 travel limitations be able to teach in the summer session?

    Since summer session courses are assigned according to need, please consult with the department chair for such a request.

    Are non-Egyptians allowed entry into Egypt at this point? Is a resident visa required for entry?

    No, they are not allowed entry yet.

    Some international faculty and staff members, and their families, have expired residencies. Is it possible to renew the residencies without going to a crowded government building?

    The Home office will be open after Eid Al-Fitr. Starting May 30, AUC Counselor Ashraf Hatem will negotiate with the immigration authorities for the matrix to be done at AUC or during an off-peak time that is easier for families.

    Since mobile/phone companies are now cutting people off as soon as their visas expire, could AUC start the new/renewal visa/work permit process during the summer so that the majority of international faculty, staff and students would not have a gap between visas?

    Mona Wagdy, director of travel and business support, will look into the possibility of starting the process during the summer to avoid any gaps between visas. Email Ayman Abdellatif, vice president of digital innovation, ayman.abdellatif@aucegypt.edu, for the option of getting your mobile/phone through AUC to avoid getting cut off in the cases of visa expiry.

    What about people whose contracts end at the end of June and are living in faculty housing? Will they be able to stay in the faculty housing?

    How should we proceed to be able to move permanently out of Egypt with all our belongings?

    What are Egyptian exit customs policies for those whose residencies expired right before the lockdown?

    Does AUC have an evacuation plan?

    Foreign governments’ websites and their embassies in Cairo are the authoritative sources for each country’s policies and plans regarding the welfare of its citizens in Egypt. The U.S. Department of State global travel advisory of March 11 urges all U.S. citizens to reconsider international travel. The U.S. embassy’s American Citizens Service page provides information on all emergency services, including email contact information for individual emergency cases and current information on COVID-19.   

    AUC enjoys excellent institutional communications and cooperation with those foreign embassies whose citizens are among our students, faculty and staff, and we consult particularly closely during emergency circumstances.  

    The University has no independent capabilities or policies regarding emergency evacuation or repatriation of foreign citizens, nor does the University cover the costs of international emergency medical evacuation. Likewise, foreign health care plans and the health care plans used or endorsed by AUC for our students, faculty and staff, in many cases, explicitly do NOT cover international emergency medical evacuation expenses. Those desiring insurance against this risk should carefully check the terms of their current policies and, if necessary, purchase individual private coverage for international emergency medical evacuation.

    Has AUC brought back AUC students currently studying abroad?

    The University is working with all students on exchange programs who are currently completing a semester abroad to determine the best solution for each student, depending on the country, university and travel options. All exchange students who were in high-risk countries, as defined by the CDC, have already returned to Cairo. AUC is in close communication with students in lower-risk countries and reviewing the situation regularly.   • Will AUC campuses be open in the coming weeks?

    Starting March 22, AUC will begin online instruction and remote work. Campus access is restricted to staff whose physical presence is absolutely necessary to support online operations. We ask all other members of the AUC community, including students, not to come to either campus to mitigate the spread of the coronavirus. Students who remain in the University Residences (as approved by the Dean of Students) have access to the cafeteria, Seoudi Market and the clinic (for emergencies). They may also access the Plaza level of the library in order to use the computers. Students who do not currently reside in the dormitories are not allowed on campus. In extremely rare circumstances, an exception may be granted to students who need to collect supplies or have essential face-to-face meetings with an instructor. Such an exception requires the permission of the instructor and the approval of the relevant dean.

    What are the precautionary measures that AUC is taking?

    • AUC began online instruction on Sunday, March 22. During this period, faculty will deliver all of their courses online with no face-to-face classes (either on or off campus). Faculty members will also be conducting all office hours online.
    • The Office of Medical Services is closely monitoring the situation and will provide regular updates.
    • As a precautionary measure, the Office of Medical Services has designated a specific examination room to serve as a flu clinic for any suspected cases of the flu. The examination room is continuously disinfected. All physicians and nurses are trained to follow international protocols in dealing with suspected cases. 
    • Hand sanitizer dispensers have been installed all around the New Cairo and Tahrir Square campuses. While washing your hands is the most effective prevention method, sanitizing is a good alternative when you cannot do that.
    • The frequency of disinfecting surfaces as part of our daily cleaning routine has been increased.

    Can I access the AUC Sports Center?

    Is AUC's day care open?

    As per the Ministry of Social Solidarity’s announcement, day care services will be suspended. Check your email for further communications.

    Will the AUC bus service operate during the coming weeks?

    In support of reduced campus access, the bus service will operate a minimal schedule to accommodate the limited number of staff who must be physically present on campus.

    AUC Residences

    I am a student living in the University Residences. Am I allowed to stay on campus during the period of online instruction?

    While AUC is exerting considerable effort to encourage social distancing and to mitigate the risk of infection, we are aware that some of our on-campus residents will not be able to return home during this period. Students facing issues with the prohibitive monetary expense to travel home (long-haul international airfare), visa complications or travel bans/restrictions (outbound or inbound), violence, conflict or political instability in the homeland or verifiable inability to access adequate internet at home are requested to email reslife@aucegypt.edu and provide more clarification for remaining in the residence halls.

    What facilities are accessible to students who remain in the University Residences?

    Students who remain in the dormitories (as confirmed by the Dean of Students) have access to the cafeteria, Seoudi Market and the clinic (for emergencies). They may also access the Plaza level of the library in order to use the computers.

    If I could not come back to the University Residences to pack up my belongings, what will happen to them?

    We have trusted, professional and discreet long-time staff to assist us with packing and storing your belongings. You should be confident that your belongings will remain secure and safe in storage until your return to the dorms once the crisis is over. 

    Those who had stated their intention to return to pack up their belongings but did not do so will find that ResLife has packed and stored their belongings. 

    Do international students who are now in the University Residences have to evacuate their rooms in the summer even if they are enrolled?

    Our regular process will apply. Any student who is registered for the 2020 Summer session will continue to stay in the University Residences.

    Events

    Are campus events and meetings being canceled?

    All public events are canceled or postponed until further notice. All meetings are expected to take place online.

  • As a student, do I have a Zoom account? How do I access online learning?

    As a student, you already have a Zoom account. Follow the below steps to log in:

    1. Go to www.zoom.us from any browser.
    2. Click on Sign In.
    3. Select Sign in with Google.
    4. Type in your AUC email (with@aucegypt.edu).
    5. You will be redirected to the AUC email login page to enter your AUC email credentials.
    6. You are now logged in.

    Which software or programs does AUC provide for free to students, faculty and staff? How I download them?

    AUC provides a free license for Microsoft Office to the AUC community. Click here and follow the instructions to download and install.

    As a result of campus closure, students cannot access Adobe Creative Cloud in labs and classrooms. Adobe has provided temporary at-home access for impacted students and faculty so that they can continue their work remotely. Click here and follow the instructions to download and install.

    Students majoring or taking courses in science, engineering or computer science are eligible for a free student license for Visual Studio. Click here and follow the instructions to download and install.

    How do I protect myself against hackers exploiting the pandemic?

    Stay alert and vigilant as some hackers and scammers are using the pandemic for malicious reasons. As a real example, some hackers use COVID-19 maps to infect devices and steal information.

    The internet connection at home is unstable and very poor, which hinders my participation in synchronous classes. Is it possible for the University to provide laptops with portable internet devices?

    For any student requests related to borrowing a laptop or asking for a source of internet connectivity, contact the Office of the Dean of Students at deanofstudents@aucegypt.edu, and he will send you a request form to fill in. 

  • What are the working hours for staff working remotely during Ramadan?

    During the holy month of Ramadan, the working hours for staff will be from 8:30 am to 3:00 pm. For staff working on campus during Ramadan, buses will depart AUC New Cairo at 3:15 pm. 

    Are there any measures that AUC is taking to accommodate staff members and remote work arrangements?

    Will all staff members continue to work remotely for the rest of the Spring semester?

    Remote work is associated with the safety measures of Egypt in light of the COVID-19 pandemic. Moving back to campus will depend on the lifting of said safety measures.

    Will performance appraisal processes be affected by remote work? Will they be redesigned to take remote work into consideration?

    Performance appraisal is a yearlong process that started in July 2019. Some individuals may have goals that were affected by the shift to remote work. This needs to be addressed on a case-by-case basis by the staff member and their supervisor.

    How will this year’s professional development plans be affected?

    Staff professional development has moved, as was communicated in February 2020. AUC is now working with LinkedIn Learning as an e-learning tool. All staff members have been assigned online courses for their professional development and practice. All international professional development has been canceled due to the travel ban.

    Can you tell us a little bit about the LinkedIn Learning online courses? Are there any particular ones you would recommend?

    In addition to the courses that all staff members have been assigned, there are other options available from the LinkedIn Learning library. Team building, customer service, leadership and remote work courses are all recommended for AUC staff for professional development.

    Is AUC considering plans to alter its capacity in terms of staff or faculty in the short to medium term?

    Currently, there is no plan or consideration to reduce faculty at AUC. For the staff and administrative support, AUC will be looking into optimizing the workforce to enhance efficiencies such as automating processes, moving to cloud-based servers, etc. There is now a hiring freeze, with very few hiring exceptions being approved, in addition to any natural reduction through staff attrition.

    Can you address how the financial impact of our current situation will affect various campus constituencies? For example, for faculty, will there be home leaves, conference travel grants and other opportunities that they were privy to before this crisis.

    Research grants and budgets will remain the same as they were before. However, since there are travel bans, we will have to cancel our travel.

    What should I do if I have any symptoms?

    If you are experiencing any symptoms, you should go to the nearest physician and inform the Office of Medical Services of your health condition. We also ask members of the community with flu-like symptoms to stay home and rest in order to limit exposure to others.

    What are some coronavirus preventative measures?

    • Wash your hands often with soap and water for at least 20 seconds, especially after going to the bathroom, before eating and after blowing your nose, coughing or sneezing.
    • If soap and water are not readily available, use an alcohol-based hand sanitizer with at least 60% alcohol. Always wash hands with soap and water if hands are visibly dirty.
    • Avoid touching your eyes, nose and mouth with unwashed hands.
    • Avoid close contact with people who are sick.
    • Stay home when you are sick.
    • Cover your cough or sneeze with a tissue, then throw the tissue in the trash.
    • Clean and disinfect frequently touched objects and surfaces using a regular household cleaning spray or wipe.
