Officer, Registrar Services, Office of the Registrar (50029873)

Reports to: Manager, Registrar Operations

Purpose: The job holder will serve as a primary point of contact for the Office of the Registrar to provide front desk service to students, faculty, staff, and parents either walk-ins, via email or phone. He/she will provide assistance with special emphasis on customer service and advising on academic procedures/deadlines and handling other basic registrar functions, and directing requests as needed.

Principal Accountabilities:

  • Greet walk-ins and answer inquiries and/or direct to the relevant registrar personnel
  • Resolve cases referred to the registrar service desk
  • Serve as the primary source regarding the process/deadline for student requests/forms
  • Provide policy interpretation related to academic regulations and procedures
  • Maintain report logs for incoming and outgoing student forms and requests
  • Assist in the completion of submitted enrollment verification forms
  • Identify gaps in the available information for students and devise means of remedy for clarity
  • Receive and respond to student/inquiries via phone/email
  • Serve students and parents as the first point of contact for any registrar related inquiry/service
  • Communicate promptly and effectively verbally/written to the various constituencies
  • Identify the needs of internal/external customers and report such information for decision making
  • Interact with other university departments as required to coordinate services rendered
  • Assist with developing communication messages to ensure consistency in the delivery of information
  • Attend to problems and inquiries from AUC community relating to academic procedures and deadlines
  • Receive and distribute incoming mail, and prepare outgoing mail and correspondence
  • Compile and maintain a list of FAQs from commonly received inquiries
  • Create relationships with other offices on campus in order to direct requests appropriately (e.g. academic advising, financial aid)
  • Respond to student inquiry in regards to the status of online submitted forms and provide guidance with the necessary action
  • Hand out copies of student credentials upon request to enrolled students
  • Understand and abide by the Family Educational Rights and Privacy Act Regulations (FERPA)
  • Receive and review submitted hard-copy student forms to ensure accuracy and successful completion of form and/or additional documentation to be processed by Academic affairs personnel
  • Receive, verify and authorize stamping of National ID forms upon student request
  • Verify change of name and/or address requests submitted to be processed by credentials personnel
  • Collect military certification requests after verification for processing by military personnel
  • Handle posting on student electronic record submitted hard-copy FERPA consents
  • Perform any other additional tasks/duties as assigned

Requirements:

Minimum Education Requirement(s): University degree is required.

Experience: A minimum of seven years of relevant experience preferably within an institution of higher education.

Skills:

  • Strong language skills (oral and written) in Arabic and English
  • Strong computer skills with Microsoft Office Word, Excel, PowerPoint
  • Knowledge of Banner is a plus
  • Ability to communicate clearly and concisely with tact and diplomacy in all oral and written communications
  • Ability to work under pressure and multi-tasking
  • High level of confidentiality and discretion
  • Ability to work effectively in a team environment
  • Outstanding interpersonal and active listening skills along with analytical and critical thinking ability to interpret and respond appropriately
  • Must have a follow-up, follow-through, and attention to detail skills, accomplishing tasks with concern for all areas involved
  • Ability to work efficiently and complete tasks in a fast-paced environment amidst interruptions and fluctuating workloads
  • Customer service oriented/experience
  • Knowledge of AUC policies and procedures
  • Strong administrative, organizational and prioritization skills
