Operations and Follow-up Director, Office of the Vice President for Information Management (Internal and Casual Staff Only)

Reports to: Vice President for Information Management

 

Purpose: The operations and follow-up director of the Office of the Vice President (VP) for Information Management (IM) is responsible for working different stakeholders affiliated with the mandate of the office including planning, coordinating and following-up on the different programs and initiatives handled by the office.  They should be responsible for ensuring and improving the performance, productivity and efficiency of organizational operations through the provision of effective logistics, processes methods and strategies.

 

Principal Accountabilities:

  • Plan, coordinate, and follow-up of all programs handled by the office
  • Handle the development of all programs and initiatives documentation managed by the office
  • Coordinate the development of the information management component and the related aspects in the University strategic planning for the development of innovative academic and administrative information and knowledge services and resources
  • Develop, maintain and regularly update a process and an information-based repository of different records and statistics on staff, equipment and technology infrastructure and other activities that are part of the portfolio of the VP
  • Conduct regular data analysis on different aspects related to technology deployment and utilization on campus
  • Propose innovative solutions and alternatives to regularly ensure and improve the performance, productivity, and efficiency of organizational operations in the domain of information and communication technology infrastructure
  • Responsible for the communication elements coming out of the office of the VP in disseminating and promoting the services by managing a better presence and visibility of the various offerings of the information management space
  • Handle and supervise all promotional and executive social functions and activities under the portfolio of the office
  • Support in the development of program proposals, grants, plans and other reports
  • Improve processes and policies in support of information management goals
  • Formulate and implement policies and procedures to maximize output in the information management space
  • Monitor adherence to set rules, regulations and procedures in the information management space
  • Support in the preparation of flyers and posters, and giveaways for the information management space
  • Supervise and follow-up the development of monthly and annual reports and documentation related to the information management space
  • Provide analytical and administrative support to the VP on a variety of campus-wide programs and initiatives
  • Follow-up and coordinate the process of preparing all required documentation related to the operating, capital budget and the information technology reserve budget related to the library and information technology directors and other associated activities
  • Coordinate and follow-up special projects; compile reports and research and analyze specific operational procedures and problems as deemed necessary
  • Maintain liaison with all units on campus to coordinate and resolve problems and issues relative to the information management space

 

Requirements:

Minimum education requirement:  BA/BSc degree is required. Master degree is recommended.

Experience: Fifteen to 20 years of experience

Skills:

  • Excellent command of English and Arabic languages.
  • Prior experience in managing programs with logistical and operational capacities
  • Advanced computer and project management skills
  • Ability to work under stress and operate in crisis mode
  • Strong creative, strategic, analytical, organizational and operational skills
  • Ability to work individual as well as part of team and lead them effectively
  • Advanced oral and written communication and administration skills
  • Capable of proper time management 
  • Ability to handle a multi-tasking model of operation
  • Capable of working with teams and workgroups with varying dynamics, sizes and different set objectives and mandates
  • Commitment to working with shared leadership and in cross-functional teams
