Office Assistant, Office of the Vice President for Information Management (Internal and Casual Staff Only)

Report to:  Executive Assistant to Vice President for Information Management


Purpose:  Provide administrative support to the Office of the Vice President for Information Management, by expediting the processing of paper work, and collection and distribution of documents.


Principal Accountabilities:

  • Performs services and run errands related to the vice president (VP) for information management (IM), the staff in the office and other units and centers that are part of the portfolio of the VP for IM, if necessary
  • Checks daily on the set up of the office of the VP and the staff offices in preparation for the meetings and the daily operations
  • Orders and is responsible for the equipment, microphones and laptops in preparation for every event and meeting
  • Coordinates with the security office regarding important visitors to the office
  • Facilitates government and public sector related issues and documents
  • Updates contacts database information through phone calls and Internet search
  • Distributes office reports and other documentation on and off campus when necessary
  • Responsible for the log of stationary and promotional materials and brochures and requesting more when needed
  • Checks incoming and outgoing mail of the office
  • Orders maintenance requests if needed for the maintenance of the office
  • Purchases minor petty cash items
  • Delivering office supplies to related offices, as needed
  • Photocopies materials and binding
  • Assists in filing, scanning documents and document preparation
  • Collects documents for the office to and from other offices
  • Responsible for ordering chairs, tables and lights for events
  • Responsible for logistics of the office of the VP for IM events and meeting set-up
  • Prints labels and letters
  • Writes Arabic correspondences



Education: High school diploma, intermediate diploma prefered

Experience: Twelve to 15 years of experience
