Officer, Scheduling, Office of the Registrar (50008030)

Reports to:  Associate Registrar, Scheduling, Classroom Allocation and Student Services

Purpose: The job holder is responsible for assisting with the building of the course schedule of classes and provides services related to event room booking, drop/add procedures, back‐up support for the front desk, communicates and interprets academic regulations to students and assists in solving student’s problems.

Principal Accountabilities:

  • Assists the Associate Registrar in the process of building the Schedule of Classes and updates the registration bulletin in coordination with the academic departments and other units
  • Assigns classrooms and posts pre‐requisites and/or topics to all courses
  • Processes classroom reservation requests for the AUC community, and changes classrooms upon the request of instructors during the semester
  • Assigns classrooms for the final examinations
  • Works with admissions and other enrollment offices to develop coordinated communication
  • Plans to drive student retention; administer those communication plans using university technologies (Student Information System, Portal)
  • Communicates and interprets registration and academic policies and procedures to students, parents, and university faculty and staff
  • Updates and distributes all announcements pertaining to advising, registration dates and final examinations schedule for the academic year including Ramadan
  • Attends to requests for course schedule changes
  • Performs registration and other data clean‐up/maintenance and reporting processes in Banner
  • Manages the follow up on low enrollment courses and distributes reports to departments during the registration period
  • Assists with the process of setting the advising, registration and final examination dates
  • Works with Adastra Module which is a complex software that requires a high level of proficiency for the process of classroom allocation, classroom changes and the generation of reports for the distribution slots
  • Reviews and updates the faculty names on Banner and ongoing process that requires continuous update and accuracy
  • Ensures that the registrar web page is updated according to ongoing modification and alterations
  • Works as a back‐up for the Office of the Registrar's front desk
  • ssists with commencement ceremonies
  • Performs any other related duties as assigned

Requirements:

Minimum Education Requirement: Bachelor degree is required

Experience:  At least seven years of working experience

Skills:

  • A mature attitude toward interpersonal relationships
  • Ability to work with others as a team member
  • Ability to cope with stressful situations in a calm manner
  • Knowledge of reporting tools such as ARGOS, Excel, Perceptive, Banner, Adastra Plus or comparable collegiate student database management system
  • Ability to manage diverse tasks simultaneously manages time in spite of constant interruptions and prioritizes job demands
  • A good sense of professionalism and excellent oral and written communication skills are necessary
  • Must have the stamina and personal drive to deal with interruptions, standing to serve students for long hours thus mastering time management
  • Constantly being updated with the technology pertaining to the job to enhance purposes
  • Excellent English verbal and writing skills
