Outreach and Proposal Officer, Office of Sponsored Programs (10000308)

Reports to:  Executive Proposal Officer

Purpose: The job holder is responsible to provide proposal development and writing services for AUC faculty to assist them in obtaining funding from a diverse range of sponsors; search for funding opportunities by monitoring program offerings, search for donor areas of interest and match them to faculty expertise, using a wide range of funding opportunities databases and other sources. Keep faculty updated of opportunities in their field. Enhance investigators’ ability to compete for and win awards through training services, particularly those geared towards electronic proposal submission (For eexample through grants.gov and other sponsor systems).

Principal Accountabilities:

Memorandum of Understanding (MOU) Processing:

  • Review MOUs received from academic areas
  • Share MOUs with the Office of Internatonal Programs if faculty/students’ mobility is incorporated
  • Seek IP and legal officer(s) review and secure their clearances advising about any depicted deal-breakers
  • Confirm the technical scope of the MOU with the technical office or school involved
  • Process MOU for signature
  • Keep soft and hard copies of signed MOUs

Outreach Responsibilities:

  • Contact sponsors and research opportunities for training 
  • Seek out external or online training for internal capacity building
  • Create an info session template general OSP and specific proposals services
  • Develop a schedule of trainings by semester, interactive and cooperative and survey needs from the previous semester
  • Contact department heads to meet and assess needs
  • Contact high frequency PIs to assess needs
  • Utilize social media for office promotion (case studies, stats, positive outcomes)
  • Capitalize on all aspects of the University marketing and media facilities such as participation in on-campus events and advertising in AUC news to advocate about OSP and its services
  • Work with the awards team along with awards’ winning AUC faculty and staff to develop news stories on significant grants and the impact of implementing their projects
  • Collect testimonials of AUC faculty and staff related to their impression about the quality of OSP services and efficiency of the team
  • Revamp OSP website with all requirements of content development and design enhancement
  • Create and execute any marketing method to help publicize OSP services; tripods, newsletters, brochure and handouts

Proposal Development:

  • Providing proposal development and writing services for AUC faculty members to assist them in obtaining funding from a diverse range of sponsors
  • Searching for and alerting faculty to funding opportunities by doing the following: monitoring program offerings, searching for donor areas of interest and matching them to faculty expertise and using a wide range of databases and other sources
  • Enhancing the investigator's ability to compete for and win awards by holding training workshops and one on one training services, particularly those geared towards electronic proposal submission (For examplethrough grants.gov and other sponsor systems)
  • Managing the internal proposal review and approval process for the assigned proposals
  • Managing several concurrent proposals simultaneously and providing rapid responses in a fast-paced environment
  • Preparing and reviewing proposal budgets with the assistance of the designated program officer, ensuring that all estimated costs are accurate, realistic and allowable by the sponsor, as well as in line with AUC’s financial regulations and accounting systems
  • Ensuring that all proposals comply with sponsor and institutional policies
  • Monitoring progress on proposal documents to assure timeliness and quality of response
  • Editing proposals for format, clarity, grammar, RFP compliance and message
  • Developing boilerplate information for use in a wide variety of proposals
  • Marketing OSP proposal development/submission services for principal investigators
  • Special assignments on an as-needed basis

Requirements:

Minimum Education Requirement: Bachelor degree in writing-related field or social science

Experience:  

  • A minimum of ten years of previous experience including minimum of three years in grant writing and proposal development
  • Experience in developing grant proposals is preferable
  • Working in an academic environment/sponsored programs office and/or a fast-paced environment is also a major advantage

Skills:

  • Strong command of the English language
  • Strong oral and written communication skills are of the highest priority
  • Excellent interpersonal skills, particularly the ability to work with groups and organizations, both internal and external to the University. It is particularly important to possess an ability to work with diverse constituencies
  • Familiarity with various sponsors’ policies and guidelines
  • Positive attitude, strong work ethic, commitment to the highest standards of customer service and professionalism and ability to work independently and as a member of a dynamic cross-functional team
  • Able to handle a heavy work load
