Senior Administrative Affairs Assistant, Electronics and Communications Engineering, School of Science and Engineering (50010201)

Reports to: Department Chair

Purpose: Under general supervision, the job holder will assist with technical and administrative matters, performs office administrative duties, coordinates and provides secretarial services and academic administration. Also, serves as a point of contact for faculty and students inquiries. In addition, prepares correspondences and manages various office tasks.

Principal Accountabilities:

Primarily responsible for the Graduate program:

  • Prepare fellow lists, graduate program updates and advising lists for graduate students with advisors
  • Manage all tasks related to electronics and communications engineering in open houses and orientations arranged by dean of graduate studies for recruitment and new graduate students
  • Manage graduate students’ registration problems and registration of newcomers
  • Manage the graduation process including paperwork and defense reservations
  • Respond to routine requests for information and statistics related to the graduate program
  • Handle all tasks related to the preparation for the graduate equivalence reports with the supreme council of universities
  • Handle graduate admission files and referring the files to the graduate selection committee
  • Support tasks for the undergraduate program if needed
  • The focal point for the Accreditation Board for Engineering and Technology (ABET) and the Supreme Council of Universities (SCOU) accreditation related organizational tasks
  • Handle students' assessments forms and makes statistics upon the results of the assessments
  • Handle the statistical reporting of the courses’ outcomes
  • Handle the exit surveys
  • Responsible for ABET accreditation online system
  • Perform any other related tasks as assigned
  • Acts as the administrator of the industrial technical lectures given by industrial leaders. This includes coordinating the talks and communicating with the lecturers as well as maintaining the up to date schedules and archives
  • Acts as the administrator of the internship program at electronics and communications engineering. This includes communicating with industrial firms that are providing internship opportunities
  • Manage the electronics and communications engineering Facebook page
  • Handle confidential issues and different kinds of materials to the faculty members
  • Arrange the department’s different events
  • Perform any other related duties as assigned


Minimum Education Requirement: University bachelor degree

Experience:  At least five to seven years of relevant experience


  • Excellent command of English, both spoken and written
  • Excellent communication and interpersonal skills
  • Excellent computer skills including Word, Excel, PowerPoint and Internet
  • Excellent organizational skills and ability to prioritize and work under pressure
  • High ability to work independently and as a part of a team
  • High promptness, dedication to work and deadline focused
  • High ability to deal with a range of ongoing tasks at the same time
  • Excellent knowledge of Banner
