Senior Travel Supervisor, Travel Office

Reports to: Director of Travel and Business Support

Purpose: The job holder will be assisting the travel manager in managing all activities related to travel and tourism services rendered to the AUC community. Supervising and providing travel service including; airline reservation, fares and accommodation for both individuals and groups inside the AUC Community.

Principal Accountabilities:

  • Processing and answering all clients’ requests regarding making reservations, calculating fares, arranging tours, hotels, cars and cruises reservations either by phone, email or office visit either local or worldwide
  • Solving and overcoming technical problems arise due to the change of rules and regulations of service provided by outside agents under the supervision and guidance of the director
  • Preparing and reviewing invoices of issued services weekly and complete necessary tasks and send it to the controller’s office to settle payments for different service providers
  • Support customers in making arrangements for free tickets through the website of different airlines and to settle missing miles
  • Evaluate new tasks assigned to the Travel Office aligned with the department manager
  • Finalize initial reservation done by the manager to senior staff at University through following up the reservation, confirm the booking and finalize admin tasks
  • Evaluate new methods of search options given to the customer under the supervision of the manager
  • Consulting with the manager in searching different pricing methods to come up with the best economical fares to AUC
  • Handling any unexpected problems in any of the requests
  • Handling groups inside and outside Egypt
  • Assist customers in creating their frequent flyer card online
  • Responsible for updating frequent flyers log
  • Processing personal and business airport meet and assist requests
  • Weekly revision of agent’s invoices concerning the meet and assist requests
  • Follow up with AUC departments to settle the meet and assist payments
  • Availability during the weekend and national holidays to follow up reservations and confirm bookings
  • Perform other related duties as requested by the direct supervisor

Requirements:

Minimum Education Requirement(s):

  • At least BA in a related field
  • Additional ticketing course is a plus

Experience:

  • Minimum of six years of working experience

Skills:

  • Fluency in English
  • Ability to work under pressure
  • Ability to work on different airline reservation software
  • Excellent computer skills
  • Excellent communication skills
