Officer, Administration, Center for Student Well Being (10001203)

Reports to: Director of Student Well-being Center

Purpose: Providing administrative support to the Center for Well-being (CSW), and is the lead person in terms of the Center Administration. This person handles data collection, the CARE module, written communications disseminating from the office: weekly and monthly reports, annual leave plans, information memos, and on-demand requests for data. This person manages the website and has budgetary oversight.

Principal Accountabilities:

Administration

  • Provide administrative support to the professional staff in the center
  • Ensure the smooth administration of the center
  • Ensure the alignment of the center and the University's policy
  • Ensure the confidentiality and privacy of data
  • Ensures the population of data into the monthly report
  • Leads an annual performance review
  • Ensures the staff’s ability to schedule and provide training to faculty

Reporting and Information Management

  • Liaises with the Officer for Communication Management in the Office of the Dean of Students to maintain the website for the center
  • Follows up with CSW directors/associate directors to produce data on the operations of the CSW
  • Supplies the dean of students with weekly reports on key indicators in the CSW
  • Uploads patient files to CARE
  • Prepares documents, protocols, and policies and presentations when needed
  • Updates Compliance Assist
  • Leads the design and delivery of pre and post surveys
  • Liaises with the Medical Office on the prescription of psychotropic medications
  • Develops and ensures implementation of emergency procedures and protocols for health crises
  • Produces data on key mental health indicators at the University
  • Tracks and profiles all external professionals providing assessments and diagnoses of student cases

Office Management

  • Ensures the smooth management of client relations
  • Meets periodically with administrative staff to solve work related problems, to arrange tasks, regulate the workflow, and report the outcomes to the director
  • Perform other related duties as requested from a direct supervisor

Requirements:

Minimum Education Requirement: Bachelor degree is required.

Experience: Minimum of ten years of experience.

  • Good interpersonal skills and the ability to work effectively with a wide range of constituencies in a diverse community
  • Maintain a high degree of confidentiality at all times, flexibility, discretion, tact and diplomacy
  • Ability to work under pressure and meet deadlines
  • Ability to exercise independent judgment and take initiative
  • Proficient with Microsoft Office, Internet
  • Excellent English language skills
