Administrative Affairs Assistant, Computer Science and Engineering Department (14000037)

Reports to: Executive Assistant to Chair

Purpose: The principal purpose of the job is to tend to the accreditation of the Bachelor degrees in Computer Science and Computer Engineering programs of both national and international agencies and department curriculum review conducted by AUC in addition to the academic requirements of both Computer Science and Engineering(CSE) graduate and undergraduate students as well as faculty members. Other departmental affairs involve clerical and administrative tasks as part of the job responsibilities.

Principal Accountabilities:

Departmental Affairs

  • Prepare several accreditation tasks, primarily the ABET accreditation for both computer science and computer engineering programs as follows by preparing rubric reports, assessment reports, program audit reports, course syllabus and assessment folders
  • Responsible for department assessment committee meetings minutes: (including taking minutes, photocopying and organizing the material according to the specified agenda)
  • Prepare the self-study report
  • Participate in preparing reports related to the accreditation of computer science and computer engineering programs for national agencies and the Supreme Council of Universities
  • Assist in the department’s curriculum review conducted by AUC
  • Organize CSE advisory board meetings in addition to developing a survey analysis related to the meetings
  • Prepare several reports related to graduate and undergraduate program catalog changes
  • Organize departmental meetings material: (photocopying and organizing the material according to the specified agenda)
  • Review updates of CSE program brochures and flyers in accordance with the program requirements
  • Review CSE interface across AUC facets i.e. AUC website in addition to the department website
  • Prepare announcements for the departmental events e.g. seminars, presentations
  • Handle several reports related to graduate and undergraduate teaching assistants’ appointments
  • Maintain several contact records of CSE staff, faculty, students, and alumni
  • Maintain CSE department calendar as well as the department chair’s calendar
  • Handle other reservations of the department conference room for holding several seminars and lectures for the Computer Science and Engineering Association
  • Maintain office files and records in accordance with internal procedures

Undergraduate Affairs

  • Participate in advising and registration for undergraduate students
  • Access class listing, extract schedule enrollment figures and update students’ advisors through Banner
  • Organize students’ academic events such as CSCE 4981 graduation projects presentation, i.e. invitation, hall reservation, hall maintenance in addition to honors assembly, and ACM
  • Prepare several statistical reports regarding computer science courses and students
  • Participate in promotional activities for CSE majors such as SSE open day and FYE for prospective students
  • Handle undergraduate assistantship procedures under the Work-study Program
  • Respond to the inquiries of CSE students whether graduate or undergraduate
  • Communicate with students for purposes related to their academic issues

Faculty

  • Respond to all faculty requests concerning their classes e.g. class lists, class maintenance, students’ contacts, classroom reservations
  • Request course textbooks as per the recommendations of course instructors in addition to the follow up on their delivery
  • Prepare several logistics of faculty and students’ conference and research grants
  • Prepare several reports related to faculty office hours and handles the announcements related to their absence from classes
  • Handle the photocopying for faculty such as assignments and exams

Other Clerical Tasks

  • Handle typing and mail distribution
  • Receive and refer to visitors and telephone callers
  • Type routine letters and memoranda
  • Perform any other related duties as assigned

Requirements:

Minimum Education Requirement: A University degree is required.

Experience: A minimum of three to five years of experience including two years in related fields.

Skills:

  • Excellent computer skills, excellent knowledge of Banner
  • Excellent team worker, initiative taker, high sense of confidentiality, high oral and written communication skills as well as interpersonal skills
  • Demonstrated ability to work under pressure, to multi-task and to be self-motivated is essential
  • High level of commitment to provide excellent customer service
  • Excellent English and Arabic both spoken and written
