Assistant Director, Gift Processing, Development Office (50017326)

Reports to: Director, Gift Administration 

Purpose: The Assistant Director for Gift processing manages the day to day administration of gifts to the University, including tracking and monitoring all pledges and incoming gifts and auditing all gift agreements for compliance. This position ensures the proper acceptance, recording, tracking and managing of data related to University gifts based on knowledge and compliance with University policy and U.S. federal regulations.

Principal Accountabilities: 

  • Ensure gifts are processed and receipted within 48 hours

  • Manage and maintain all data related to donations to the University

  • Master, interpret and explain U.S. federal regulations and all applicable laws as mandated by IRS, FASB, and GASB regarding all matters pertaining to gift processing

  • Liaison with University controller to reconcile gift accounts and endowed funds

  • Ensure pledge management policies and procedures leads to a timely collection of pledged funds

  • Maintain confidentiality of donor information and ensure appropriate checks are in place to secure donor data

  • Develop and run reports to review gift processing and identify discrepancies

  • Identify discrepancies and make corrections to gift finances, if any

  • Work closely with the stewardship team and regularly provide fund data for all donor relations reports such as the president’s report, endowment report, and stewardship reports

  • Review all acknowledgments, receipts, pledge reminders and other correspondence for completeness and accuracy before distribution

  • Manage the daily workflow of one staff member

  • Establish and document departmental policies and procedures, including the University’s gift agreement policy

  • Manage the digitizing process of all historical donor information

  • Oversee and reconcile the AUC emergency fund

Minimum education requirement: Bachelor’s degree in finance, economics or business highly desired

  • A minimum of 10 years of experience; with five years in finance or related field

  • Demonstrated supervisory experience

  • Experience in making responsible financial recommendations to management

  • Experience in handling large amounts of confidential data 


  • Strong organizational and analytical skills

  • Excellent project management skills and an ability to prioritize

  • Ability to exercise judgment and initiative in the creation and interpretation of policies and guidelines on all matters related to the management and reporting of pledges and gifts

  • Ability to manage a large volume of work within tight deadlines; flexibility in work style to meet changing needs during times of increased activity

  • Ability to work collaboratively and independently; empowered to make key decisions and recommendations with little oversight

  • Comprehensive knowledge of gift and pledge processing, university policy and IRS regulations

  • Sound judgment and professionalism to facilitate university goals

  • Excellent written and verbal skills in English
