Administrative Affairs Assistant

Reports to Executive Assistant to Director

Purpose: assist the executive assistant to the director in coordinating and implementing a variety of departmental administrative tasks

 

Principal Accountabilities:

  • Assist in preparing reports specifically, collecting course syllabi, c enter meeting minutes; including taking minutes, photocopying and organizing the material according to the specified agenda
  • Responsible for preparing applicant files from documentum in preparation for admission interviews
  • Contact Television and Digital Journalism Master applicants to schedule interview appointments
  • Assist in maintaining office files and records in accordance with internal procedures & process all center print job orders
  • Handle hall reservations of Center events
  • Assist in daily office work such as AUC ID activation and email requests
  • Assist in coordinating center events
  • Print class lists as needed by faculty and staff
  • Handle photocopying requests for faculty such as assignments and exams
  • Enter annual leaves and overtime on SAP
  • Make center stationary requests on SAP
  • Handle typing and mail distribution
  • Receive and refer to visitors and telephone inquiries
  • Type routine letters and memoranda
  • Update the student and staff mailing lists on a regular basis
  • Send security permit emails to the security office
  • Handle catering for internal meetings and events
  • Help the Executive Assistant to Director in any task required

 

Requirements:

Minimum Education Requirement:  

  • Bachelor’s degree

Experience:

  • Minimum of two years of demonstrated experience in office/administrative tasks

Skills:

  • Ability to creatively collaborate with others as part of a team and foster a cooperative work environment
  • Excellent communication skills both orally and written in English
  • Ability to meet deadlines, set and follow priorities, maintain a high - level of personal responsibility in a fast-paced environment
  • Excellent interpersonal, communication and management skills and demonstrated ability to take initiative is required
  • Must be extremely well organized and detail-oriented
  • Demonstrated ability to work under pressure, to multi-task and to be self-motivated essential
  • Excellent computer skills, knowledge of SAP is an asset
  • High level of confidentiality and attention to detail
