Specialist, Administration and Planning (Accounting, School of Business) (50011601)

Reports to: Senior Manager, Decision Support

Purpose: This position monitors and controls the School of Business budget. Manages timely and efficiently all the financial and administrative functions for the school in line with the allocated budget. Maintains the development of all financial reports related to the school. Finally, processes and manages the daily financial transactions related to the School of Business.

Principal Accountabilities:

  • Process payment requests on SAP and ensures documentation and approval are in compliance with AUC policies and procedures
  • Calculate and process per-diem and trip settlements for all travel requests
  • Review and process payments related to corporate credit card settlements, petty cash and advances
  • Assists in the preparation of the School of Business budget planning process and compiling the School of Business new initiatives each financial year to allocate the funds on the SAP planning module and the planning matrix to be submitted to the budget office
  • Prepares the School of Business annual financial reports to communicate the school's financial trend
  • Prepares customized financial accreditation reports for The Association to Advance Collegiate Schools of Business- AACSB, Associations of MBAs- AMBA, and European Quality Improvement System- EQUIS to be submitted to the international accreditation entities
  • Prepare financial reports for the school's gifts, external grants, endowments and projects
  • Prepare a budget availability report on a monthly basis with detailed analysis, trends and commentary to be sent to the top management, for better planning and efficient utilization of budget
  • Prepare quarterly forecast of revenues and expenses to identify the financial status and make the needed funds projections for each department to support new projects and business needs
  • Evaluate previous budgets and expenditures, prepare variance analysis and identify trends for decision support and recommend actions for efficient utilization of budget
  • Assists in the year-end closing process and prepare accruals
  • Coordinate with the budget office to ensure the balances’ rollover of the external funds
  • Follow up on receiving collections from donors or sponsors in coordination with the development and treasury offices
  • Develop the tools used in the automation of the financial reports and financial templates
  • Perform any other related duties as assigned


Minimum Education Requirement: Bachelor degree in accounting/finance

Experience: Three to six years of experience in a relevant field


  • Strong command of Microsoft applications (Excel, Word, PowerPoint)
  • Excellent knowledge of SAP and Oracle
  • Advanced level of reporting skills using various methods
  • Good attention to details with excellent follow up skills
  • Good communications and interpersonal skills
  • Ability to establish/maintain effective working relationships
  • Ability to work under pressure and meet deadlines
  • Good analytical and problem-solving skills
  • Time management and multi-tasking
