Administrative Affairs

Article 1.8 of the Senate ByLaws mandates the creation of an Administrative Affairs Committee, which reviews and monitors matters related to the administration of the University, safety, planning, and practices.

Membership, Organization, and Procedures and Functions of the Administrative Affairs Committee:

A. Membership:
1. The Administrative Affairs Committee will comprise at least seven members from the Senate.
2. A maximum of three additional members may be appointed to the committee from among non-senatorial faculty, staff and administrators. The appointment of these members will be made by the Senate at the recommendation of the senator members of the committee.
3. The term of service for any member is one year, this may be renewed at most twice.

B. Organization:
1. The committee will elect annually from its senator members, its chair, and also one representative to attend the meetings of the Staff Committee when policy matters are discussed.
2. The committee will elect annually its secretary from its members.
3. The committee may appoint ad hoc sub-committees as it may deem necessary for the proper conduct of its affairs.
4. The committee may recommend to the Senate the creation of standing sub-committees for specified functions. With Senate approval, these sub-committees may operate as independent standing committees.

C. Procedures and Functions:
1. The senator members of the committee will meet within the first two weeks of the academic year to elect the chair and nominate the non-senatorial members (if any). The committee, as a whole, will then meet at least monthly during the course of each semester.
2. The majority of membership will constitute a quorum for meetings. Motions will be passed or defeated by the majority of those present. Other matters of meeting procedures will be settled in accordance with Robert's Rules of Order.
3. The committee will report to the Senate by the end of the first month of the academic year, the names of the members of all its standing sub-committees and the names of its one representative to the staff committee.
4. The committee will consider and make recommendations to the senate on policy matters and procedures related to the different areas of responsibility which are specified in its above-mentioned mandate. Policy statements may be initiated in the committee or referred to it by the Senate chair or by the Senate as a whole in any of its meetings.
